About the Project
- You will support the department with daily administrative processes and the end-to-end coordination of conferences and events, including documentation, internal requests, travel arrangements, budgeting, merchandising/materials, and post-event reporting.
Support employee onboarding/offboarding: checklists, documents, and coordination with related teams.
Maintain department documentation (access, templates, ongoing improvements).
Assist with internal requests: creation, follow-up, and status tracking.
Coordinate teambuildings and training sessions: calendars, communication, logistics, and reminders.
Research and shortlist relevant conferences/events.
Communicate with organizers; review contracts and participation terms.
Coordinate and track budgets with accounting/finance (invoices, payments, cost control).
Arrange business trips via the office management team; validate tickets/accommodation, and ensure budget compliance.
Order merch and exhibition materials (stands, roll-ups, booklets, etc.) via the office management team.
Post-event reporting: collect data and prepare ROI/ROMI reports.
Support business trips and rotation/shift-based arrangements for employees and department leadership (when required).
Upper-Intermediate English (written and spoken).
Strong ownership, integrity, and attention to detail.
Ability to manage multiple tasks and deadlines.
Willingness to work from the Budapest office.
Ukrainian or Hungarian language.
Experience in administrative support / event coordination / travel management.
Confident user of Google Workspace / MS Office (Docs/Sheets/Calendar).
